Here at Workout Wizard (WOW), it is extremely important to us that we maintain a high level of security to all our customers personal information, we therefore take great care in the protection privacy and security of all your personal details whilst using our website or visiting our online shop and purchasing products.  We appreciate that your diet and fitness information can be a very personal and confidential subject. We want you to be able to visit and use our website with the complete confidence that your information is safely protected. 

Our Privacy Policy will break down the type of information we collect about you through the website and online services, it will also explain how we protect that information, and the choices you have about how it is used.  We would advise you take a few minuets to read this Policy to ensure that you have a full understanding of its contents and agree to the conditions of this Privacy Policy. 

In addition to this, we would also recommend that you check this page regularly as we may slightly amend the Privacy Policy.  All changes will be located here to ensure that you are able to see any revisions, amendments or changes made to the policy.

Part 1: Information collected and its use.

We bring together two types of information: personally identifiable information and non-personally identifiable information.

Personally Identifiable Information
The only Personally Identifiable Information that we collect from you is information that you willingly submit to us.  We may gather this information in a variety of ways: when you sign up for our Newsletter, share our content with a friend, purchasing one of our online products, updating your member profile/account, when you forward photos or emails to your Workout Wizard inbox, or in connection with other services, and promotions we may occasionally offer.  However, in all of the above cases unless you give us permission to do so, we will never sell, share, trade or rent your Personally Identifiable Information other than what is stated in this Privacy Policy.

Please note, you are not required to submit any Personally Identifiable Information if you do not wish to do so, however, if you choose not to submit any Personally Identifiable Information, you will not be able to sign up for any of our online products or promotions and will therefore limit you in the full range of services we actually offer. 

Non-Personally Identifiable Information
Non-Personally Identifiable Information is Information that cannot identify individual users.  Examples of this may include information such as age, gender, ethnicity, health information, height, weight, medical conditions etc.

Part 2: What we do with the information collected?

We use the information we collect on our website for the following:

Improving the Website - We may use it to improve our website, adding features, promotions personal tips and general content for you to enjoy. 

Newsletters - If you choose to subscribe to our Newsletter, we will use it to forward you the Newsletter itself, offers and any new forthcoming events.

Pass it to a friend - If you have used our referral service to tell a friend about our site, we will ask you for your friend's name and email address.  We will then send him/her an email inviting them to visit the site. 

Promotions - If you decide to participate in any of the promotions we offer, we may use it to send you information relevant to the promotion. 

Online Services - If you request to sign up for one of our online services, we may use it to create and activate your account, this may include setting up usernames, passwords etc.

Orders - If you purchase a product from us, we will need to request certain personally identifiable information to process our order form.  You must provide contact information, together with financial information such as credit card number, expiration date. We use this information for billing purposes, to fulfil orders and occasionally If we encounter any problems processing an order, we will use this information to contact you.

We will send emails to you in order to keep you posted on the progress of your order.

Queries and Comments - If you contact us regarding a query or comment or complaint, we may use it to respond to your questions. We may store your questions for reference.

Cookies and Web Beacons - Cookies are small text files that our site uses to store record files on a specific user's computer.  Our site uses both session ID cookies and persistent cookies.

Session cookies are there to help make it easier for you to use/navigate our site.  A session ID cookie will expire when you close down your browser, turn off your computer or been inactive for 20 minutes or longer.

Persistent cookies remain stored on your hard drive for a longer period of time.  Selecting "remember me" option when logging into (entering username and password) our members section, a persistent cookie will be able to allow you to skip the log in process everytime you need to login.  

Part 3: Sharing Information and Disclosure

We will not sell, rent or disclose any of your Personally Identifiable Information collected on our website, other than what is described in this section or what is specifically agreed to by you.

We may use Non personally Identifiable Information to publish analyses of data collected on our website, for example this may be displayed in the form of a graph or chart of the average weight loss/gain of our members.

As with most Web sites, we collect certain information automatically and store it in log files.  This information can include, internet protocol (IP) addresses, browser type, internet service provider (ISP), referring/exit pages, operating system, date/time stamp, and clickstream data.

We use this information, which is non personally identifiable information, to analyze trends, administer the site, and gather demographic information about our user base as a whole.

Additionally, we record your IP address with your personally identifiable information. We do this to help protect ourselves, and our members from abusive users.

Law Enforcement

We may disclose your information (including Personally Identifiable Information) if we truly believe that we are required to do so to comply with valid legal requirements, (such as regulation, statute, search warrant, court order, or other valid legal process).  In certain circumstances we may disclose your information (including Personally Identifiable Information) when we believe that the disclosure will help to identify, contact or bring legal action against someone who has violated our Terms & Conditions, help to protect the safety and security of our users, or the general public.

Third Parties

We may provide your Non-Personally Identifiable Information to third parties either by itself or combined with similar information from other users.  Third parties may include: potential or actual advertisers, providers of advertising services, providers of website tracking services, potential or actual commercial partners, sponsors, researchers and other similar parties.  Examples of the information we may provide include: the demographics of our user base, the number of unique users who visit our website, the number of unique subscriber to our products/services, or other similar information. We use third-party tracking services that use cookies to track non-personally identifiable information about visitors to our site in the aggregate.  We do so in order to track our return on marketing initiatives.

Contractors
We may occasionally employ independent contractors, vendors and/or suppliers.  Purely for the purposes of our Privacy Policy we will refer to these organizations, or companies collectively as "Contractors".   These Contractors provide us with specific products and services.  This may include: credit card processing, web hosting, application development, and other similar products and services.  While providing said product or service, these Contractors may from time to time have limited access to your information (including Personally Identifiable Information).  Their access to your information (including Personally Identifiable Information) is strictly limited to only that necessary for them to provide their product or service.  Contractors are not authorised to use or disclosing any of your information (including Personally Identifiable Information) for any purpose other than providing us with said product or service. We additionally require that all Contractors protect your information (including Personally Identifiable Information) consistent with this Privacy Policy.

This website does contain direct links to other site, which are not owned or controlled by Workout Wizard, therefore please be aware we are not liable for the privacy policy statement of any other sites other than www.workoutwizard.co.uk

Part 5: What choices do I have in relation to the collection and distribution of my information

We will only ever use the information you provide (including Personally Identifiable Information) as described in this Privacy Policy.  If we are going to use it for any other purpose we will disclose this to you at the time we request the information.  We only save the Personally Identifiable Information that you voluntarily submit to us.  You may choose not to submit any Personally Identifiable Information.  However, if you choose not to submit this, you will not be able to sign up for any of our online products or promotions.

If you do not want to continue receiving our Newsletter, you may unsubscribe by going to the "Contact Us" page on our website, providing your first name, last name and the email address at which you receive the Newsletter, and clicking the "submit" button.  If you also want us to stop sending you information regarding new services, products or promotions, you must request that we cancel these communications by changing your account preference, or contact us at management@workoutwizard.co.uk

Part 6: How can I update or correct my information?

You are able to contact us any time to update, amend, or delete your Personally Identifiable Information.  You do this by updating your personal Members Profile and Account Information or you can send a request via e-mail to our Privacy Manager at the contact information provided below.  Such updates, amendments, or deletions will not have any effect on any other information we hold, or the information that we may have provided to Third Parties, provided it is sent prior to the requested update, amendment, or deletion.

Please make note, it is not technologically possible to update, amend, or delete each and every record of information that you have provided to us, as we need to back-up our systems to protect information against unintended loss, a copy of your Personally Identifiable Information may exist in a non-erasable form that will be difficult or impossible for us to locate. Following receipt of your request, we promise to take practical steps to update, amend, or delete all appropriate Personally Identifiable Information stored in our actively used databases and other readily searchable media.

Part 7: What security precautions do you take to protect my personal Information against loss, misuse, or amendment, whilst under your control?

We take great pride securing your personal information.  We want your PII to remain as secure as possible both during transmission and while under our control.  To help ensure this happens, we use the industry standard for secure transmission when signing you up for one of our online products or services, we also maintain a strict Corporate Security Policy.

For transmitting your Personally Identifiable Information over the Internet to our servers during the sign up process, we use Secured Socket Layer (SSL) encryption technology.   Once we have your Personally Identifiable Information we secure it on servers located in controlled, secure environments, protected from unauthorized access, use, or alteration.  Only employees who need your information to perform a specific task or function are granted access.  All Workout Wizard employees are required to abide by this Privacy Policy and our Corporate Security Policy.  Any employee who violates this Privacy Policy or our Corporate Security Standards is subject to disciplinary action, up to and including dismissal.

Although we make every conscious effort to ensure that your PII is secure during data transmission and whilst on our systems, there is always some risk associated with transmitting over the Internet .  Please be aware that, as with any internet based site we do run the risk that someone could find a way to violate our security systems, whilst we do take every possible precaution to safeguard your information, due to the above risks, we cannot guarantee the security and privacy of any information you transmit to us, and therefore ask you to do so at your own risk.
